Facility Use Guidelines

Weddings
Welcome to Agassiz Village!

Our mission focuses on providing a safe and fun environment for underserved youth in a summer camp program setting. 99% of our campers receive some level of financial aid to attend our camp during the summer. The fees you pay go directly to support these kids. Please take special care with our facilities and equipment, knowing that every dollar diverted to repairs costs a child the opportunity to go to Agassiz Village’s summer camp. Please be sure to inform our staff of any damages or problems.

As a small non-profit, we value your support, as well as your enjoyment of our facilities and scenery. The Agassiz Village community appreciates any help you can give to “leave the place in better condition than when arriving!” Additional donations to Agassiz Village are also always welcomed.

AV Dining Hall & Lawn
Our dining hall is one of the largest freestanding log cabin structures in the world. The building is rich in history and makes for a great rustic setting for any event. The building has two bathrooms, an industrial size kitchen, a wrap-around porch and a large lawn. The rental of the building includes the use of our tables and benches, which can seat up to 250 people. You are welcomed to bring in your own tables and chairs; however, you are responsible for moving existing tables and benches and returning them to their original position. You may bring in decorations; however you are not allowed to nail anything to the walls. There’s no heat in the dining hall except for a large fireplace.

Catering & Kitchen Use
We do not provide catering; however, we have a full commercial kitchen that is available for an additional fee. In the kitchen there is a large walk-in cooler, stoves warming carts and a commercial dishwasher. In the event that the kitchen will be used for your event, we will provide a staff person for the day of the event to ensure the proper use of the equipment, and assistance with location of accessories and proper storage of items used during your event.

Bridal Party Dressing Area
Agassiz Village can provide a building near the Dining Hall for the Bridal Party to get ready prior to the wedding upon request. This building has a shower and three dressing rooms and is a short, paved walk to the Dining Hall. It is handicap accessible and has air conditioning. There is an additional fee for its use.

Pricing
The base cost for the use of the Dining Hall is $1,500 for an event. This includes a 5-hour block of time on Friday for set up (usually 5:00 pm to 10:00 pm), 5- hour block of time on Saturday for the event (usually 5:00 pm to 10:00 pm) and a 4-hour block of time on Sunday for clean up (usually 8:00 am – 12:00 pm). Agassiz Village permits early access on the event day for caterers, entertainment, photographers etc. with prior notice. Times can be modified based on your needs and availability.

The Dining Hall is equipped with a full commercial kitchen which can be used for an additional fee of $350.

We also can provide a Bridal Party Dressing Area for $150.

AV Dining Hall & Lawn Use & Restrictions
• The Dining Hall can hold up to 400 people and includes seating for 250 people. You are welcome to bring in your own tables and chairs if it is more suitable for your event but please be sure to return our tables to their original arrangements.
• The Dining Hall includes the use of the wrap-around deck that overlooks beautiful Lake Thompson and Mt. Washington.
• The use of outdoor space for tents and ceremonies is available upon request and approval of the Agassiz Village Executive Director. Set up and take down must be within contract dates.
• There is no heat in the building and the use of any heat sources is prohibited. However, the Dining Hall fireplace is available for use with the supervision of an Agassiz Village staff member. Arrangements must be made in advance to use the fireplace. An additional fee may apply for the use of the fireplace.
• All furniture (including picnic tables) can be arranged or stored to suit your event. HOWEVER, THEY MUST BE RETURNED TO THEIR ORIGINAL LOCATION OR AS INSTRUCTED BY AGASSIZ VILLAGE STAFF.
• Absolutely no glass, glass bottles, etc. in any of the buildings (except the Dining Hall) or on the camp grounds, especially at the waterfront area. USE PLASTIC!
• ALCOHOL USE: Agassiz Village highly recommends the use of a trained and certified server for alcoholic beverages. Adults, 21 & older, are asked to be safe and discreet with alcoholic beverages both outdoors and indoors on camp. Please do not throw containers in the fire pits or into an open trash.
• You are responsible for ensuring that your invited guests are safe throughout the event. You will be responsible for any Agassiz Village property that is damaged or stolen by your guests.
• REMOVE ALL TRASH! Your group is responsible for removing trash from ALL sites that you use. All trash must be taken to the dumpsters, which are located behind the Dining Hall.
• Do not flush any foreign materials down the toilet. Feminine products, trash, paper towels, etc. will destroy the septic system.
• Agassiz Village can provide a Bridal Party dressing area upon request. An additional fee is required for its use.
• The Client must obtain Professional Liability Insurance for the Facilities in an amount of no less than one million dollars ($1,000,000) covering personal injury and property damage.
• Agassiz Village does not provide overnight accommodations.

Kitchen Use & Restrictions
Agassiz Village’s Dining Hall has a full commercial kitchen, which can be used for your event for an additional fee. The kitchen includes a full complement of equipment, including a large, walk-in cooler, stoves, and warming racks. There is limited availability of cooking accessories, such as chafing dishes, pots and pans.

• The Dining Hall has a fully equipped commercial kitchen. An additional fee is required for its use.
• Agassiz Village will provide a staff person for the day of the event. This is to help you in use of our facility, as well as ensure that the kitchen remains safe and well-maintained during use.
• Our dishes and utensils are of “camp quality” and may not be suitable for your special event.
• The kitchen is available for use by you or a caterer hired by the contract signee. You must present a proof of insurance from the caterer no later than thirty (30) days prior to the start of your event.
• All dishware, utensils, pots, pans and equipment MUST be cleaned and placed back in designated areas. The kitchen has a commercial dishwasher for your convenience.
• The walk-in cooler MUST be cleared of any food items at the conclusion of your event.
• Agassiz Village does not provide plastic wrap, foil, or other food storage materials. Please plan accordingly and notify your caterer of this restriction.
• The walk-in cooler will be available for food storage the day before your event date.

Event Parking & Vehicle Restrictions
• PARK IN DESIGNATED AREAS ONLY: Agassiz Village will provide you with a map showing designated parking areas. Please inform your guests where to park prior to arrival. Parking in undesignated grass areas and fields can cause damage that will result in the loss of your security deposit.
• Vehicles must travel on paved or gravel roads only.
• Vehicle access to the Waterfront is prohibited without consent of the Agassiz Village Executive Director. Arrangement should be made in advance if vehicle access to the waterfront is required.
• Access roads to Agassiz Village’s property and buildings must remain unblocked at all times to allow for emergency vehicles.
• Speed limit on Agassiz Village property is 10 mph. Please obey for safety sake.

Waterfront Guidelines
• A certified lifeguard approved by Agassiz Village is required for use of the waterfront for in-water activities (including access to the docks). One lifeguard for every 25 swimmers is recommended.
• Swimmers should be assessed for their abilities before entering deep water designated by the surrounding docks.
• Only swim in designated areas as defined by Agassiz Village staff.
• The use of boats and canoes must be approved by the Agassiz Village Executive Director or Camp Director prior to use.
• No glass, cigarettes or trash are permitted at the waterfront.
• Flotation devices can be provided upon request.
• No vehicles are permitted at the waterfront.
• No fires are permitted at the waterfront
